Overview

Our website includes functionality to track the availability of the Bellville Velodrome. Members of the public can access the Bellville Velodrome Availability page, which features a calendar that display the days the track is not available.

Availability entries

Authorised users of this website can access the website administration page, from where the Events menu option can be chosen.  Change the Category to “Track Availability” to see only a list of entries specific to availability (the calendar call these entries events, because it is an events calendar; we just use it for something else too).

Filter event category - Track availability

We create a new entry to “block out” dates when the Velodrome is not available.  We can either create a new entry, using the Add New button at the top to create a new entry, or Clone an existing entry. The latter option will ensure the entries are applied consistently and require much less typing, but then you need to remember to update the relevant dates!

Cloning an entry

A new entry can be created by cloning an existing entry. All its data will be copied to a new entry. All you need to do is change the start and end times.

Track availability - Edit - Clone to draft

Use the Clone to Draft option to create a new entry. If you select only the Clone option it will do the same, but immediately publish the clone with the same dates. This is not ideal.

Track availability - Edit - Date and Time

Under the Event Date and Time section simply update the date to the required values and select the Publish button on the top right. The event will now appear in the calendar.

Creating a new entry

If there are no entries to clone, or if you want to start with a fresh entry, follow the new entry process.  Remember to press the Add New button at the top of the Events page to start the process.

To improve consistency in how we fill these entries fill in each of the following;

Track availability - Edit - Date and Time

  • Set the title to: Track not available
  • Select All-day event if you are not sure of the exact times. The time fields will then be hidden.
  • Set the appropriate start and end times
  • Leave the timezone on Johannesburg please (there is no Cape Town time zone)
  • You may optionally set the repeat and exclude rules (advance feature)
  • Leave the following blank (We are not using it for this);
    • Event Location Details,
    • Event Cost and Tickets and
    • Organiser Contact Info
  • In the text box enter the text: Track not available

Track availability - Edit - Category

Set the Track Availability category on the right hand side. Do not set other categories. The category determines on which calendar/page the details will appear. We want it to appear on the Availability page.

Now select the Publish button on the top right. The event will now appear in the calendar.
